This policy explains how ARK Dental Practice uses personal information. It covers the practice at 3a Auriol Road, West Kensington, London W14 0SP and the website arkdental.co.uk.

1. What we collect

When you become a patient or enquire, we typically collect: name, date of birth, address, telephone, email, GP details, next of kin where relevant, medical and dental history, radiographs and photographs, treatment records, estimates and payment records.

When you use the website or book online we may also collect technical data such as IP address, pages viewed and the device you used. If you subscribe for the whitening eBook or a newsletter we collect the name and email you type in the form.

Health information is special category data. We only use it to provide care, to meet our legal and professional duties, or with your explicit consent where that is required.

2. Why we use it

• To examine you, plan and provide treatment, and keep records the law and the GDC expect us to keep.

• To book, remind and follow up appointments (including SMS or email if you have agreed).

• To take payment, issue estimates and, where you apply, to share what a finance company needs.

• To refer you to another clinician when that is part of your care.

• To deal with complaints, insurance, regulation and legal claims.

• To run the website (Wix), online booking (Dentr) and, if you opt in, practice news or the eBook.

We do not sell your details. Marketing messages only go out if you have asked for them. You can stop them at any time by emailing reception@arkdental.co.uk or calling 020 7603 7255. That does not stop us contacting you about your actual care.

3. Lawful bases

For care and records: provision of health care, our legitimate interests in running a safe practice, and legal obligations (including record-keeping). For special category health data: provision of health or dental care and, where needed, explicit consent.

For appointment reminders and service messages: the contract to treat you and our legitimate interests.

For optional newsletters or the eBook: consent. You can withdraw consent without affecting your treatment.

For the website and cookies that are not strictly necessary: consent via the cookie banner, where one is shown.

4. Who we share it with

Only people who need it for your care or to run the practice. That can include:

• Clinicians and trained staff at this practice.

• Laboratories, specialists and 32Co (or other aligner / lab partners) when they are part of your plan.

• Dentr for the appointment diary.

• Wix.com, which hosts the website and shop. Wix stores data on its servers.

• Payment and finance providers if you pay by card or apply for finance.

• Your GP or another dentist if you ask us to, or if it is necessary for your safety.

• Regulators, insurers or the courts if the law requires it.

Some providers may store data outside the UK. Where they do, we expect them to use an approved transfer mechanism.

5. How long we keep it

Dental records are usually kept for at least 11 years after your last visit, or until a child patient reaches 25, whichever is later — or longer if a claim or legal duty requires it. Website enquiry forms and eBook sign-ups that do not become clinical records are kept only as long as needed to answer you or run that list, then deleted or anonymised.

6. How we keep it safe

Access is limited to the team. Computers and online systems are access-controlled. Paper records, where still used, are kept locked. Payment card data on the Wix shop is handled by PCI-DSS compliant gateways; we do not store full card numbers on practice paper if the gateway processes the payment.

7. Cookies and the website

The site is hosted by Wix. It may set cookies to make pages work, remember a shop basket, or measure visits. Use the banner or your browser settings to refuse non-essential cookies. Blocking some cookies may stop parts of the shop or forms working.

8. Your rights

You can ask us for a copy of the information we hold, ask us to correct it, and in some cases ask us to delete it, restrict it or move it. You can object to marketing at any time.

Care records cannot always be deleted while we still have a legal duty to keep them.

9. Photographs and reviews

We only use an identifiable photograph or case story with written consent that names the website, social media or advertising. You may withdraw consent for future use. We cannot always remove copies already published.

10. Children

We treat children as patients with a parent or guardian’s involvement as the law requires. We do not knowingly use a child’s data for marketing.
